Responsible Use of AI in Research

University of Melbourne researchers are responsible for ensuring that all material in their research outputs, including research theses, publications and non-traditional research outputs, is their own work and that sources and contributions are clearly and transparently acknowledged.

The University’s statement on responsible use of digital assistance tools and AI in research sets out expectations and recommendations on how these tools should be used cautiously, transparently and ethically. It highlights the need to verify outputs, acknowledge AI assistance, keep concise records and follow related policies on authorship, research integrity, human research ethics, privacy and data management.

Research and AI

Artificial intelligence (AI) and other digital assistance tools are increasingly used in research. They may be applied in research, with research, or to support research tasks such as literature discovery and summarisation, data analysis, coding, reviewing, drafting and editing, transcription, translation, data management and preparation of publications. These tools are assistive and do not remove researchers’ responsibility for accuracy, ethics, authorship, confidentiality or data security.

This page sets out expectations for cautious, responsible use and provides plain language definitions and illustrative examples.

Overview of responsible AI use for researchers

AI and other digital assistance tools can support research in many ways, but they present risks to research integrity, privacy, intellectual property, accuracy and authorship. Researchers should therefore take a cautious, considered approach and ensure that any use of these tools aligns with institutional and external obligations such as ethics approvals, publisher rules, funder conditions or contractual terms.

The principles and requirements that underpin responsible research, as detailed in the University’s Responsible Conduct of Research Policy (MPF1318), apply when AI or other digital assistance tools are used in, with, or to support research.

In particular, researchers are expected to meet University requirements relating to:

Researchers are responsible for ensuring accuracy, transparency and completeness when conducting, reporting or publishing research that draws on AI. Where publisher, funder or contractual conditions set additional expectations for use, acknowledgement or provenance, researchers should follow those requirements.

What responsible use looks like

In line with section 5.11 of the Responsible Conduct of Research Policy, research personnel are responsible for assuring the integrity of their research produced with the assistance of digital assistance tools, including but not limited to artificial intelligence (AI) tools. Research personnel must:

  • Document the use of a digital assistance tool (DAT) in their research process
  • Disclose the use of a DAT to research partners, collaborators and in research outputs, including but not limited to publications and theses
  • Ensure all necessary approvals are obtained to use the DAT, including but not limited to a Privacy Impact Assessment, Information Security Risk Assessment, or ethical review and approval where applicable.

AI tools cannot be listed as authors. Authors must be able to consent to authorship, take responsibility for their contribution, and stand behind the accuracy and integrity of the research output.

Responsible use of AI in research means using AI tools to support, not replace, researcher judgement and accountability, and carefully checking outputs for correctness, accuracy, bias, completeness and relevance.

It also involves being transparent when AI has made a substantive contribution to content, protecting confidential, sensitive, personal and proprietary information, complying with ethics, privacy, copyright, authorship and publisher requirements, and using University‑supported tools and environments where appropriate.

Guidelines on use

AI and digital assistance tools can support research in useful ways, but their use must be responsible, transparent and consistent with the University’s expectations for research integrity. Whether a use is acceptable depends on the context, the nature of the tool, the type of data or material involved, and any relevant ethics, legal, publisher or funding requirements.

  • Use of AI and digital assistance tools may be acceptable where it supports research practice and does not compromise integrity, confidentiality, accountability or originality. This may include:

    • Supporting literature discovery, searching and organisation
    • Assisting with planning, note-taking or summarising information for further review
    • Helping with coding, data processing or workflow support, where outputs are checked by the researcher
    • Improving grammar, expression, structure or readability in draft material
    • Supporting transcription, translation or formatting, where appropriate safeguards are in place
    • Assisting with administrative or teaching activities related to research
    • Supporting publication preparation, where use is consistent with publisher requirements and is appropriately acknowledged when needed.
  • Use of AI and digital assistance tools is not acceptable where it undermines research integrity, obscures responsibility, or creates avoidable risk. This includes:

    • Presenting AI-generated content, analysis or interpretation as entirely your own where acknowledgement is required
    • Relying on AI outputs without checking their accuracy, completeness or suitability
    • Entering confidential, sensitive, personal, proprietary or otherwise protected information into tools that do not provide appropriate safety for that information
    • Using AI tools to fabricate, falsify or misrepresent data, sources, results or references
    • Using AI in a way that breaches ethics approval conditions, privacy obligations, contractual obligations, copyright, publisher rules or University requirements
    • Using AI tools in place of appropriate researcher judgement, expertise or supervision
    • Attributing authorship to an AI tool or using AI in a way that misrepresents intellectual contribution.

    AI and digital assistance tools can assist research, but they do not replace human responsibility. Researchers, staff and students remain accountable for the integrity of their work and for decisions about how such tools are used.

    In all cases, users remain responsible for reviewing outputs, checking accuracy, applying judgement, and ensuring that the final work meets required academic, ethical and professional standards.

Authorship and digital assistance tools

Compliance with the  University of Melbourne’s Authorship Policy [MPF1181] helps to ensure that the community can trust the integrity of the University’s research. The policy states that Authorship of a research output is attributed when:

  • A researcher has made a significant intellectual or scholarly contribution to a research output; and is willing to take responsibility for the contribution.

All named authors must consent to being named and must be able to ensure the accuracy and integrity of the reported research. Digital assistance tools cannot be named as authors, as they are unable to provide consent or confirm the accuracy and integrity of the research output.

Acknowledgement of digital assistance tools

Digital assistance tools that generate or alter text, such as generative AIs, can only be used in the preparation of research outputs if the following criteria are met:

  • The use of digital assistance tools has been acknowledged in accordance with clause 5.11(b) of the Responsible Conduct of Research Policy and the Australian Code for the Responsible Conduct of Research, 2018 (Code);
  • Material that has been substantially altered or created by a digital assistance tool has been documented, as per clause 5.11(a) of the Responsible Conduct of Research Policy. For example, in a research diary, the acknowledgements or in a footnote of a publication; and
  • All authors have confirmed the accuracy and integrity of any created or altered text that has been documented.
  • Minor editorial assistance (for example grammar or small‑scale rephrasing) may not require formal acknowledgement, but recording such use is encouraged for transparency.
  • Code produced by generative AI cannot be protected by copyright and thus cannot form a substantive part of code that is to be licenced.
  • Many publishers and journals prohibit use of generative AI for writing or informing reviews contained in works submitted for publication. Researchers should ensure that they comply with community expectations and publisher requirements when considering the use of generative AI for such tasks.

Responsible use of digital assistance tools

Digital assistance tools provide various levels of support, from minor editing (grammar, clarity and formatting) to substantive content assistance (idea generation, drafting or restructuring). Be aware that online tools may retain the text you submit, including prompts, even if you later request deletion.

Do not enter copyrighted material, confidential information or intellectual property into third-party tools unless you have explicit authorisation and are satisfied that the tool’s security and terms of use are appropriate. Outputs from such tools may reproduce or closely mirror protected works and should be used with caution.

A specific case is material provided to supervisors by their graduate researchers. These candidates own their text so it can only be uploaded into an AI with their explicit permission and with a clear statement of the purpose for which it is being uploaded. This also applies to co-authored material such as drafts of papers.

Thus, if a supervisor plans to use AI to provide feedback on written material, they must obtain the candidate’s permission to do so, and it is a reasonable expectation on the part of the candidate that this permission be recorded in writing.

  • Standard authoring tools such as Microsoft Word provide spelling and grammar checks, whilst services such as Grammarly assist with rephrasing and expression. More recent generative AI tools can undertake much more extensive rephrasing or drafting.

    Whether rephrasing text moves beyond minor editing assistance, and therefore impacts the integrity of the research output, depends on whether the rephrasing is beyond that acceptable according to the Australian Standards for Editing Practice. These standards limit editing to language and expression (clarity, grammar, spelling), completeness and consistency. Substantial redrafting of whole paragraphs or larger sections, or translating a substantial body of text into English, falls outside those limits.

    For research outputs, a distinction can be made between editorial assistance and content assistance offered by more sophisticated digital assistance tools. Editing assistance using AI tools may be acknowledged, but acknowledgement is not required for digital assistance tools that limit edits to minor changes.

  • There are legitimate uses of generative AI and other such tools in research. The University of Melbourne emphasises that all authors are responsible for ensuring the correctness of published work. If a paper includes text generated by AI then the onus is on the authors to establish that it is correct and sufficient by checking against other sources, and to acknowledge the content assistance provided for specific sections of the work. The use of AI generated text should be cited appropriately; see the University’s guidance on referencing styles for more information.

    Several digital assistance tools can help with preparing literature reviews, however, as set out in the Using AI as a graduate researcher page, the University discourages use of generative AI to write literature reviews.

    These tools can omit, misrank or even invent material and should not be relied on to understand a field. The University recommends only using them to suggest readings or to shape searches. Authors should always verify outputs against primary sources.

    To quote the output of a digital assistance tool that has provided content assistance, it is recommended that:

    • Authors verify accuracy and provenance by undertaking the necessary due diligence to confirm references, claims and facts against primary sources
    • The material be subject to a plagiarism check, as generative AI output can be a close paraphrase of another source
    • The material be subject to a copyright infringement check, as generative AI may produce outputs protected by copyright law
    • A footnote can be used instead of an in-text citation, stating the tool used, the version (if available), the date on which it was used, and the exact text of the prompt
    • Authors should be explicit as to which material, such as specific passages of text or images, were created or modified by AI tools. Additionally, note that many publishers explicitly prohibit generated images.

    A specific form of AI output is transcriptions of spoken text. Such material can only be uploaded to an AI if appropriate permissions or consents are in place. Also, it is critical that the correctness of such transcriptions is thoroughly checked, particularly if they are quoted in publications or used for quantitative analysis. Failure of a transcription tool is not a defence against ethical breaches such as misquoting.

    Beyond editing assistance and content assistance for text, note that the use of digital assistance tools to falsify or fabricate (in the sense of ‘inventing in order to deceive’) data is a breach of the University of Melbourne’s Research Integrity and Misconduct Policy and the Australian Code for the Responsible Conduct of Research (the 2018 Code).

  • Authors should be aware that unacknowledged use of digital assistance tools to generate or alter text that authors imply is their own may constitute a breach of the 2018 Code. Even when the use of digital assistance tools for content assistance is acknowledged, this may impact the degree to which the work is considered the authors’ own (with impacts for GR thesis examination) and may trigger plagiarism concerns.

    For coursework subjects, the University has published advice that sets out, as for research writing, that all use of LLMs in work submitted for assessment must be fully acknowledged, and this may have an impact on assessment outcomes.

    Researchers should be aware that, when using online tools, text provided as inputs is offered without copyright protection for others to use freely; likewise, any generated text they use may breach copyright.

Graduate researchers

Graduate researchers are expected to use AI and digital assistance tools responsibly and in ways that support, rather than replace, their own learning and research development.

Graduate researchers should discuss the use of AI tools with their supervisor where the tool may affect:

  • Authorship or contribution
  • Literature review practices
  • Research thesis writing and editorial assistance
  • Coding, analysis or image generation
  • Transcription or handling of participant data
  • Ethics approvals or data management.

Graduate researchers should also be aware that assistance with content and structure in research theses is limited to minor editorial support, and that the use of AI may affect how originality, contribution, critical insight and authorship are assessed.

Ethics and AI

The use of AI or other digital assistance tools does not remove existing ethical responsibilities; it often adds further layers of complexity. Researchers remain responsible for ensuring that their work is conducted honestly, safely and transparently, and in line with university requirements for ethics, privacy, security, data management and research integrity.

Human Research Ethics

Where research involves human participants, human research data, or identifiable information, any proposed use of AI must be considered early and addressed through a human research ethics application process. This includes using AI in the analysis of human research data, using AI-generated or AI-derived outputs as part of the research method or analysis, and using external AI tools to process, store or manage participant information. This includes transcriptions as discussed above. Researchers should ensure that any use of AI is consistent with approved regulations and the Human Research Ethics and Safeguards policy.

Consent and participant information

Where AI is relevant to a human research project, participant information and consent materials should explain this clearly. This may include the role of the AI tool, how participant data will be handled, whether an external provider may retain or use the data, and any relevant risks, limitations or safeguards. Researchers must describe proposed AI use in the ethics application and seek approval before using tools with participant data, as retrospective approvals are not normally permissible.

Researchers must also comply with applicable privacy laws, including the Australian Privacy Principles, when using AI and other digital assistance tools. This is particularly important where personal or sensitive information may be processed by commercially available AI products. Further guidance is available from the University’s Privacy team.
